Integrating Your Custom Message On-Hold Program into the Weave Phone System

If you’ve recently switched phone systems at your veterinary practice and are having trouble uploading your custom message on-hold programs, the team at InTouch is here to help! Your message on-hold programs from InTouch are compatible with the Weave phone system, so you can continue to provide your clients with important information about the services your practice offers and engage callers while they’re on hold.

We can help you best utilize your program to ensure clients continue to hear the important information you’d like to convey, as well as help upload the custom message on-hold programs to your new Weave phone system.

Below, we’ll explain how to update your message on-hold scripts as well as how to upload your programs to the Weave dashboard.

Updating Your Custom Message on-Hold Scripts

Reach out to the message on-hold department at InTouch and let us know that you’ve switched to a Weave phone system. To help us ensure your programs are properly formatted to work correctly with your Weave system, we’ll need to know the brand/model number of the phone base at your practice (ex. Yealink T48G, Avaya IP500, Panasonic KX-NT553, Polycom VVX 411, etc.) and if the system requires .wav or mp3 file format.

With this information, we can take any necessary steps to make certain your message on-hold scripts are up to date and structured correctly to help ensure your program is best suited to the Weave system. This may include providing options to shorten your message on-hold scripts to hopefully better enable your clients to hear more messages while on hold, as the programs will start at the beginning each time a client is placed on hold.

Uploading Your Correctly Formatted Message On-Hold Programs

Once you’ve updated your message on-hold scripts and we’ve emailed your audio programs to you, you can replace the default music with your practice’s custom programs by following the steps below:

  • Step 1:

    Download and save the audio file from our email to your desktop.

  • Step 2:

    Log into your Admin Portal using your Weave login information.

  • Step 3:

    Select “Phone System” from the menu on the left.

  • Step 4:

    Under Phone System, select “Hold Music”.

  • Step 5:

    For Custom Hold Music, select “Custom”, then you can “Select Media File”.

  • Step 6:

    Select “Upload New” OR you can drag and drop the audio file from your desktop.
